TOOLS2DONE BUSINESS GUIDE

Keep Part-Payments Tied to the Right Trade Invoice

Record each customer payment, see the balance still due and keep part-paid and overdue trade invoices connected to the correct job.

A customer sends £1,000 towards a £2,400 invoice. Another pays three instalments with different bank references. A landlord makes one transfer covering several properties. Unless each receipt is allocated properly, it is easy to mark the wrong invoice as paid or lose sight of the remaining balance.

Tools2Done keeps the invoice, customer, project and payment history together. You can record what arrived without changing the original amount charged, then see which balances are still outstanding.

See the difference between money received and money still due

A part-payment should reduce the invoice balance, not erase the original invoice.

For an invoice of £3,600:

PaymentTotal receivedBalance due
£1,200£1,200£2,400
£900£2,100£1,500
£1,500£3,600£0

Recording each receipt provides a clear trail for you and the customer. Until the final £1,500 arrives, the invoice is not fully settled.

A payment workflow built around the actual job

Create the invoice against the right customer and project

Tools2Done invoices can be linked to both the customer and the relevant project. That gives the payment commercial context: who owes it, which work it relates to and where it sits within the job record.

Give the customer a clear way to view and pay

The customer can open the invoice online as well as receiving printable or downloadable paperwork. Your bank-transfer details can be displayed on the invoice.

If Stripe customer payments are configured for the business, customers can also pay online by card. Offering a convenient route to payment does not guarantee that they will pay on time, but it removes avoidable uncertainty about how to settle the invoice.

Record every receipt separately

When money arrives, record the:

  • payment date;
  • amount received;
  • payment method;
  • reference or explanatory notes.

The payment is added to the invoice history, preserving the original amount billed and making the remaining position easier to check.

Keep outstanding and overdue balances visible

Tools2Done supports sent, part-paid, paid and overdue invoice states. Its dashboard shows outstanding and overdue invoice values, helping you identify money that still needs attention across several completed jobs.

You can search invoices by reference, customer, project, amount or date instead of working backwards from unexplained transactions in a bank statement.

Confirm what the customer has paid

A receipt can be emailed when a payment is recorded. When a payment clears the full balance, a receipt can be sent automatically.

This helps distinguish between acknowledging one instalment and confirming that the whole invoice has been paid.

Useful when several jobs overlap

Consider a plumbing business with four completed jobs:

  • a £650 invoice paid in full;
  • a £2,800 invoice with £1,000 received;
  • a £475 invoice past its due date;
  • a £4,500 invoice sent yesterday.

The total invoiced is £8,425, but only £1,650 has been collected. The business needs to know that £1,800 remains on the part-paid invoice, £475 is overdue and £4,500 is newly outstanding.

A single bank balance cannot show that breakdown. Connected invoice and payment records can.

What part-payment tracking does not do

It does not force customers to pay, settle disputes or decide whether you should agree a payment plan. Those remain commercial decisions for the business owner.

It gives you a reliable record from which to make those decisions. You can see the invoice total, payment history, remaining balance, due date, customer and project without reconstructing the position from emails and bank statements.

Frequently asked questions

Should I reduce the invoice total when a customer pays part of it?

No. A payment normally reduces the balance due; it does not change the amount originally invoiced. If the actual price has been formally reduced, deal with that separately and keep a proper record of the reason.

Can I record more than one payment against an invoice?

Yes. Tools2Done supports a payment history so that separate receipts can be recorded against the invoice until its balance is cleared.

What if the remaining balance passes its due date?

The unpaid amount still needs attention. Tools2Done surfaces overdue invoice values on the dashboard so that a partial receipt does not hide the balance left behind.

Can customers pay by bank transfer?

Your business bank details can be displayed on invoices. When the transfer arrives, record it against the relevant invoice with the amount, date and reference.

Can customers pay by card?

Customers can pay online by card when Stripe customer payments are configured for the business. Otherwise, they can use the bank-transfer details shown on the invoice.

What if I am unsure which invoice a payment covers?

Check the customer, invoice reference, amount, project and any remittance information. If it is still unclear, ask the customer to confirm the allocation rather than guessing.

Move finished jobs towards full payment
